Assistant Registrar


 The Registrarial Assistant is responsible for providing departmental assistance in all areas of collection management and exhibition registration, including the Museum's collection database, TMS.

Assist with smaller temporary and traveling exhibitions, including processing loan forms; making shipping, crating and courier arrangements; scheduling; budgeting; condition reporting; supervising installations and deinstallations; and traveling with exhibitions as needed. Assist with collection-related projects including accessioning and upkeep of collection records, processing and scheduling outgoing loans and yearly inventories and condition reporting. Maintains department ledgers, reconciles expenses, and processes invoices in partnership with finance team. Assist with digital images for exhibition related projects and collection documentation.

The incumbent will also assist with the monthly condition reviews of the Franklin D. Murphy sculpture garden on UCLA's campus.

Required/Preferred

Interest in registration and/or collections management; with student employment, internships or other direct museum experience preferred.

Required

Ability to write grammatically correct routine business correspondence (memos, internal operating procedures, letters, and instructions on campus forms) with accuracy and typing precision.

Required

Proven skill in using a PC and experience with Microsoft Office, including Word, Access, Outlook and Excel; familiarity with Adobe Photoshop and Acrobat. Experience with TMS preferred.

Skill in setting priorities based on the job responsibilities, managing workflow in the face of shifting priorities, frequent interruptions and multiple deadlines.

Required

Excellent interpersonal skills so that good working relationships may be maintained with all museum staff, outside contacts and university staff.

Ability to clearly present and communicate information by making oral group presentations.

Detailed knowledge of standard museum cataloging system as applied to all stages of the cataloging process.

Detailed knowledge of art and information science bibliographies; familiarity with terminology and documentation standards.

Experience operating a digital camera and imaging software.

Working knowledge of the history of graphic arts and of general art history.

Knowledge of standard museum policies and procedures according to American Alliance of Museums standards.

Working knowledge of legal and ethical aspects of fine arts collecting, maintaining, borrowing and exhibiting.

Knowledge of conservation needs of collections of works of art on paper, sculpture and paintings.
