Operations Assistant (Work From Home) [Philippines]


 

We are looking for an Operations Assistant to join our growth marketing team in the US. This teammate supports the overall administrative tasks for digital marketing strategy and efforts.

The Role

  • Send agenda and notes for monthly marketing meeting and quarterly business review
  • Manage the brief intake and approval process and tracking sheet
  • Assist in setting up projects in the PM software and follow up on project tasks status
  • Assist in uploading, tagging, and managing assets in the DAM software
  • Create share links from the DAM software for external partners
  • Maintain PTO central tracking document (flag to leadership to encourage people to take time off that have not)
  • Help schedule meetings for marketing leadership and external vendors
  • Place orders / coordinate with Operations to fulfill urgent sample requests
  • Create coupons for partners to give them free product
  • Program surveys in the research platform via Quantilope
  • Weekly NPS report population (to provide every Monday AM)
  • Upload UGC to the DAM software
  • Post and/or schedule social media postings in Sprout Social

The Requirements

  • Must have 3+ years of project management experience
  • Must have 1+ years of experience working with any Digital Asset Management (DAM) software, but Parpifly is preferred
  • Basic to Intermediate MS Excel and/or Google Sheets experience is a must-have
  • Preferably with 1+ years of experience in Executive Assistant (EA) functions such as calendar management, coordination, and follow through
  • Experience with organic social software like Sprout Social or any similar tool is a nice-to-have
  • Preferably with a background working for a D2C e-commerce brand
  • Experience with Slack and Google Suite (Gmail) for internal communication is a nice-to-have
  • Should be detail and goal-oriented, responsive, proactive, and prompt with deliverables
  • Excellent verbal and written communication skills
  • Can work in the graveyard shift following any timezone in the US
