The Administrative Assistant provides support to the sales department in its work to fulfill the Company’s education focused mission. The Administrative Assistant is responsible for organizational and procedural tasks that are critical to the functioning of the sales department leadership team and staff.
Essential Responsibilities:
Administrative Support:
- Own scheduling and coordination of departmental meetings, ensuring efficient use of time and resources.
- Develop, distribute, and maintain meeting agendas, ensuring all pertinent discussion points are covered.
- Document and circulate meeting notes and follow-up actions, tracking until completion. Assist with other duties as assigned, proactively identifying areas where support is needed.
Material Management:
- Coordinate the printing and shipping of specified materials to clients, prospects, and team members, ensuring timely delivery and accuracy.
- Maintain and update key sales resources such as the Sales Team Handbook, Sales Playbook files, PowerPoint decks, Proposal Templates, and Microsoft TEAMS shared folders. Oversee version control and ensure easy accessibility of resources for the team.
Calendar and Time Management:
- Manage the departmental calendar, coordinating scheduling for meetings, onboarding events, and other department functions. Track and record employee time off, ensuring accurate records are maintained.
Client and Vendor Document Management:
- Maintain critical client documents including district-required vendor documentation and Sole-Source Letters. Ensure all client and vendor documents are up-to-date and easily accessible to the sales team.
Expense and Budget Management:
- Assist with expense reporting and tracking, ensuring all expenditures are accurately recorded and reconciled. Maintain records of budgeted departmental expenditures, providing regular reports and updates.
Accountabilities:
- Promptly and professionally answer calls, providing excellent customer service.
- Deliver work output on time and with a high level of expertise.
- Ensure communication is clear, timely, and effective across all levels of the department.
- Coordinate shipments efficiently and effectively. Provide the necessary support to the sales staff, enabling them to meet their objectives.
Skills and Qualifications:
- High school diploma or Associate Degree
- At least one year experience as an administrative/executive assistant or customer service provider
- Ability to work independently to accomplish assigned tasks
- Working knowledge and understanding of Microsoft Office Suite including: Word, Excel, Publisher, Outlook, and Teams
- Demonstrated ability to maintain project deadlines and organization while multi-tasking
- Enjoy working with a team to achieve shared goals
- Professional customer service skills; able to answer the phone and transfer calls efficiently
- Excellent verbal and written communication skills
- Strong work ethic, ability to self-start, and pay attention to detail Interest in literacy and improving student reading achievement
Physical Requirements/Work Environment:
- The use of standard office equipment/computers and moderate physical work (lifting 40-50 pounds) is required The work environment is an office with a low noise level
